The Fine Print

Four costs that aren't on the brochure

None of these are scams. They are just the lines that turn an advertised price into your actual bill, and they are worth asking about before you sign rather than after.

Usage-based billing

Per-minute, per-call or per-operation pricing is cheap at pilot scale and grows with volume. The cost you model on a quiet month is not the cost in December. Worse, per-call billing means a ten-second wrong number costs the same as a booked job.

Ask: is this flat or usage-based, and what did your busiest client pay last month?

Setup fees disclosed late

Plenty of providers advertise a monthly figure and mention the setup fee once you are on the call and invested. Across the Australian market these commonly run $2,000 to $10,000, and some providers charge over $1,500 before answering a single call.

Ask: what is the total cost to get live, including setup, before I book a demo?

Maintenance nobody budgeted for

Automation is not an appliance. Your prices change, your services change, your suburbs change, and an agent nobody reviews drifts out of date and quietly starts costing you work. Budget roughly 15–20% of the build cost annually if it is not included.

Ask: is tuning included, or is that a separate engagement?

The cost of leaving

If you cancel, do you keep the prompts, the workflows, the integration configuration? Some providers hand it all over. Others hand back nothing, because the lock-in is the model. Both are legitimate businesses — but the second one is more expensive than it looks.

Receptionist salary: SEEK average $60,000–$70,000 for Australia, checked July 2026; midpoint $65,000 used. Superannuation guarantee 12% of ordinary time earnings from 1 July 2025 (ATO). Note also that from 1 July 2026 Payday Super requires super to be paid every pay run rather than quarterly, which is a cash flow change for employers, not a cost increase. The honest read: this table is not an argument that you should never hire anyone. A good receptionist does things no AI does. It is an argument that if you cannot justify $72,800, the alternative is not "nothing".

Before You Spend

The risk is not the price

RAND Corporation interviewed 65 data scientists and engineers for its 2024 study on AI project failure and reported that, by some estimates, more than 80% of AI projects fail — roughly twice the rate of IT projects without AI. It is a qualitative study, so read it as "the large majority" rather than a precise number. The important finding is what caused the failures: leadership and scoping, not technology. The money is rarely wasted on the wrong tool. It is wasted on the wrong scope.

Name the number first

Before anyone builds anything, agree what success is. Calls answered. Quotes converted. Hours back. If you and the provider cannot both say the number out loud, you are buying a science project.

Start smaller than you want to

One workflow. Prove it. Then the next. The failure pattern is a big-bang project that runs over, disappoints, and poisons AI inside the business for two years.

Know the compliance date

From 10 December 2026, Privacy Act transparency obligations (APP 1.7–1.9) require covered entities to disclose in their privacy policy where a computer program makes decisions significantly affecting someone. Disclosure, not a ban — but ask your provider whether their build triggers it.

About $20–$30 a month for a ChatGPT or Claude subscription, and if you already pay for Google Workspace or Microsoft 365 some AI features are already included in what you are paying. Spend a month there before you spend a dollar on a build. It costs almost nothing, and it makes you a much harder person to oversell to afterwards.

Possibly. Eligible small companies can access the R&D Tax Incentive for genuine experimental development work, and various state digital adoption programs come and go. Standard implementation work usually will not qualify as R&D. We are not tax advisers — ask your accountant, and be sceptical of any vendor who leads with the grant rather than the outcome.
