Search this question and you get two answers: "contact us for a quote" or "it depends". Neither helps you budget. Here are our prices, the market's prices, the hidden costs, and the honest bit about when not to spend anything at all.
AI automation for an Australian small business costs $2,500 to $20,000 to build and $200 to $800 a month to run. Square AI is $2,500 setup plus $349 a month, fixed and agreed in writing before any work starts.
Below that tier, AI tools like ChatGPT or Claude cost about $20–$30 a month per person and you should try them first. Above it, custom development starts near $35,000. Setup fees for AI receptionists, where charged, commonly run $2,000 to $10,000 across the market.
All of it. No "from" pricing that turns into something else on the call.

All prices AUD, ex GST, current at July 2026. Setup is one-off. The retainer is month to month, cancel with 30 days notice, and it does not scale with your call volume. You keep the prompts, workflows and integration configuration if you leave.
Compiled from published pricing across Australian providers in 2026. We are one of the options here, so read it accordingly — but these are the ranges you will actually encounter.
| Tier | Typical price | Who does the work | Honest verdict |
|---|---|---|---|
| AI tools (ChatGPT, Claude) | ~$20–$30/user/mo | You | Everyone should be here. Start here for a month before spending anything else. |
| Automation platforms (Zapier, Make) | ~$50–$500/mo | You | Real capability if you enjoy building. Usage-based tiers get expensive at volume — check the operations limit. |
| Self-serve AI receptionist | ~$99–$149/mo | You | Genuinely cheaper than us. You write the scripts, wire the calendar, test the edge cases, maintain it. |
| Mid-tier AI receptionist | ~$200–$699/mo | Shared | Deeper integrations, some onboarding. Usually a platform you rent rather than a build you own. |
| Square AI build | $2,500 + $349/mo | Us | Built, integrated and tuned monthly. You keep the configuration. Not the cheapest. |
| Managed AI receptionist | ~$699–$1,299/mo | Them | Multi-location, high volume, QA and compliance needs. Good products at that scale. |
| Scoped SME automation build | ~$2,500–$20,000 one-off | An agency | The most common tier for real small business automation. Where we sit. |
| Custom AI development | ~$35,000–$350,000+ | A dev shop | Bespoke models, legacy integration, high volume. Almost never the right first move under 20 staff. |
| Enterprise consulting | $50,000+ for strategy alone | A big firm | Deloitte, Accenture and similar. That is a strategy document, not a working thing. |
Ranges compiled from vendor-published pricing and Australian AI consultancy published rates during 2026. These are vendor-published figures — not independently audited — and they change frequently. Always confirm current pricing directly with the provider before budgeting.
None of these are scams. They are just the lines that turn an advertised price into your actual bill, and they are worth asking about before you sign rather than after.
Per-minute, per-call or per-operation pricing is cheap at pilot scale and grows with volume. The cost you model on a quiet month is not the cost in December. Worse, per-call billing means a ten-second wrong number costs the same as a booked job.
Ask: is this flat or usage-based, and what did your busiest client pay last month?
Plenty of providers advertise a monthly figure and mention the setup fee once you are on the call and invested. Across the Australian market these commonly run $2,000 to $10,000, and some providers charge over $1,500 before answering a single call.
Ask: what is the total cost to get live, including setup, before I book a demo?
Automation is not an appliance. Your prices change, your services change, your suburbs change, and an agent nobody reviews drifts out of date and quietly starts costing you work. Budget roughly 15–20% of the build cost annually if it is not included.
Ask: is tuning included, or is that a separate engagement?
If you cancel, do you keep the prompts, the workflows, the integration configuration? Some providers hand it all over. Others hand back nothing, because the lock-in is the model. Both are legitimate businesses — but the second one is more expensive than it looks.
Ask: what exactly do I own if I leave, and is there an exit fee?
The honest version, with the arithmetic shown.
| Full-time receptionist | Square AI build | |
|---|---|---|
| Year one cost | ~$72,800 | $6,688 |
| The sum | $65,000 salary + 12% super ($7,800) | $2,500 setup + ($349 × 12) |
| Not counted above | Leave cover, desk, computer, recruitment, training time | Nothing — that is the whole price |
| Hours covered | ~38/week | 24/7/365 |
| Handles the unscripted | Yes — this is the real advantage | No. It escalates to you. |
| Gets sick, takes leave, resigns | Yes | No |
| Improves by knowing your customers | Yes, genuinely | Only if someone tunes it |
Receptionist salary: SEEK average $60,000–$70,000 for Australia, checked July 2026; midpoint $65,000 used. Superannuation guarantee 12% of ordinary time earnings from 1 July 2025 (ATO). Note also that from 1 July 2026 Payday Super requires super to be paid every pay run rather than quarterly, which is a cash flow change for employers, not a cost increase. The honest read: this table is not an argument that you should never hire anyone. A good receptionist does things no AI does. It is an argument that if you cannot justify $72,800, the alternative is not "nothing".
RAND Corporation interviewed 65 data scientists and engineers for its 2024 study on AI project failure and reported that, by some estimates, more than 80% of AI projects fail — roughly twice the rate of IT projects without AI. It is a qualitative study, so read it as "the large majority" rather than a precise number. The important finding is what caused the failures: leadership and scoping, not technology. The money is rarely wasted on the wrong tool. It is wasted on the wrong scope.
Before anyone builds anything, agree what success is. Calls answered. Quotes converted. Hours back. If you and the provider cannot both say the number out loud, you are buying a science project.
One workflow. Prove it. Then the next. The failure pattern is a big-bang project that runs over, disappoints, and poisons AI inside the business for two years.
From 10 December 2026, Privacy Act transparency obligations (APP 1.7–1.9) require covered entities to disclose in their privacy policy where a computer program makes decisions significantly affecting someone. Disclosure, not a ban — but ask your provider whether their build triggers it.
For a small business, a scoped single-workflow build commonly runs $2,500 to $20,000 with ongoing costs of roughly $200 to $800 a month, based on published pricing across Australian providers in 2026. Square AI is $2,500 setup plus $349 a month. Below that, self-serve tools like ChatGPT or Claude are about $20–$30 a month per person. Above it, custom development starts around $35,000 and climbs. The number that matters is which tier you actually need, and most small businesses need the middle one.
Some genuinely cannot — if the work varies from $5,000 to $500,000, a price list is misleading. But plenty could and choose not to, because a demo before a number is a better sales position. Our view is that if we cannot name a starting price, we do not understand our own product. Ours is $2,500 setup plus $349 a month, and if your job is bigger than that we tell you the number before we start, in writing.
About $20–$30 a month for a ChatGPT or Claude subscription, and if you already pay for Google Workspace or Microsoft 365 some AI features are already included in what you are paying. Spend a month there before you spend a dollar on a build. It costs almost nothing, and it makes you a much harder person to oversell to afterwards.
Four in particular. Usage-based billing that is cheap at pilot scale and expensive once it is running across the business. Per-call or per-minute charges where a ten-second wrong number costs the same as a booked job. Setup fees disclosed after the demo. And maintenance — budget roughly 15–20% of the build cost annually, because an automation nobody tunes drifts out of date the moment your prices change.
On raw cost, comfortably. SEEK puts the average Australian receptionist salary at $60,000–$70,000 (July 2026); at $65,000 plus the 12% superannuation guarantee that is $72,800 before leave cover, a desk or recruitment. A Square AI build is $6,688 in year one. But the comparison is not like-for-like — a person handles the unscripted thing, the upset customer, the supplier who turns up early. Automation handles the repeatable work that currently is not getting done at all.
Not with us — the retainer is flat and it does not scale with your call volume. Watch for this elsewhere, because it is the most common way an advertised price becomes a different price. Ask any provider directly: what happens to my bill in a busy month? If the answer involves overage, get the per-unit rate in writing before you sign.
You keep the prompts, the workflow configuration and the integration setup. Cancel with 30 days notice, no exit fee. Worth asking every provider this question, because the answers vary a lot and some hand back nothing. Neither model is dishonest — but you should know which one you are buying.
Possibly. Eligible small companies can access the R&D Tax Incentive for genuine experimental development work, and various state digital adoption programs come and go. Standard implementation work usually will not qualify as R&D. We are not tax advisers — ask your accountant, and be sceptical of any vendor who leads with the grant rather than the outcome.
Four things drive it: how many systems it touches, how clean your data is, how well documented your process is, and how fast you want it. A workflow inside one modern system is straightforward. The same workflow across legacy accounting software, a custom job tool and a spreadsheet somebody maintains by hand is a different project entirely. That is why anyone quoting without asking what you run is guessing.
That it does not get used. RAND Corporation's 2024 study, based on interviews with 65 data scientists and engineers, reports that by some estimates more than 80% of AI projects fail — roughly twice the rate of IT projects without AI — and the leading causes were leadership and scoping failures rather than technology. The protection is boring: one narrow workflow, a number agreed before you start, and someone reviewing it monthly.
